Community Fund

The Community Fund was established in 2014 by the Substance Use Abuse Advisory Committee and Campus Health & Wellbeing. The Community Fund aims to foster a culture of health and well-being through leadership development, alternative programming, and the promotion of healthy behaviors and lasting wellness. Funds are made available to students, faculty, and staff as a way to include the campus community in developing programs that ensure a safe, healthy and thriving community.

Funding Guidelines:

All funding requests will be allocated on a reimbursement basis, meaning all requesting bodies, must pay for materials, services or program items in advance. Special requests for advanced funding prior to event or program are subject to approval. Requests must be made at least one month in advance of the proposed event and proposals must be submitted by the second Thursday of the month for timely consideration. The Community Fund is not to be considered a sustainable source of funding for long-term projects, but to be considered one-time funding to start a project, host an event, or invest in a healthy campus environment.

Community Fund’s Objectives and Guidelines:  

A “proposed program”, is defined as an event, project, service or activity, directly benefiting the Cal Poly community with goals or outcomes to: 

  1. Improve the social environment through substance-free alternative programming. 
  2. Provide a safe and secure environment for all members of campus. 
  3. Promote principles of healthy choices and activities. 
  4. Provide leadership development opportunities that directly impact Cal Poly students and/or staff and faculty. 
  5. Encourage and educate others about cultural diversity and inclusion. 
  6. Foster collaborations across diverse disciplines. 
  7. Conduct service learning opportunities to impact community well-being. 

Preferred Qualifications: 

  1. Programs or events hosted on Thursday, Friday and/or Saturday nights between the hours of 5:00 pm – 2:00 am. 
  2. Programs or events hosted on high risk-holidays such as Cesar Chavez Day, St. Patrick’s Day, Athletic Events, Halloween, and others. 
  3. Programs or events that are open to the entire Cal Poly campus. 
  4. Programs or events that have specific learning objectives geared towards healthy choices and alternatives. 

Reimbursement Requirements: 

Funding will be given to you AFTER the event. Once you have been approved for reimbursement funding, you will be contacted by wellbeing@calpoly.edu. All processed reimbursements to state accounts or individuals will follow Cal Poly’s Administration & Finance rules and regulations for expenditure transfers, direct buy transactions, and department charges. Reimbursements to Cal Poly Corporation (ASI clubs and organizations) will follow corporation rules and regulations.  

Below are the required documents that need to be submitted two weeks (14 days) after the event date before reimbursement can be processed for the requesting party: 

  1. SUAAC Community Fund’s reimbursement form
    1. Original receipt(s) or copies of receipt(s) of materials, supplies, or invoices used specifically for the approved program or event that.   
    2. Any supporting documentation for your program. Examples: dashboard receipts, hospitality forms, ASI invoices, etc.  
  2. SUAAC Community Fund evaluation form 
    1. Please submit this evaluation with the reimbursement form.  

Please note: We cannot reimburse ProCard charges. Effective January 18, 2016, expenditure transfer requests are no longer accepted for ProCard transactions.  

Examples of Funded Programs: 

  • Alternative Events that would distract from high-risk drinking/partying. 
  • Guest Speakers directly impacting student development on the topics of leadership, campus involvement, healthy lifestyle, bystander intervention. 
  • CPR Training that helps promote campus safety. 
  • Programs that emphasize safety, healthy alternatives and healthy behaviors. 

How to Request Funds: 

Funding for the Campus Health & Wellbeing Community Fund is currently on hold due to COVID-19, please check back for updated information.

 Cal Poly students, faculty and staff can apply for the following funding opportunities:  

  1. General requests of $500-$1500 can be made per program proposal and will be reviewed on a monthly basis by the Wellbeing team. Events with preferred qualifications are given higher priority. Multiple requests from different entities may not be made for the same event. 
    1. Please fill out the following form.
    2. Email wellbeing@calpoly.edu with a copy of a Hospitality Justification Form .
